Role Overview

Administrative & Executive Support is a role focused on providing the administrative and executive backbone that helps structure daily operations, optimize time management, and maintain an organized workflow. This role integrates as a trusted extension of the client’s team, handling both operational tasks and executive support functions, tailored to the business's complexity and specific needs.

Key Responsibilities

  • Administrative & Back-office Support
    • Management and organization of internal documents.
    • Basic billing support and administrative follow-ups.
    • Data entry and record maintenance.
  • Calendar & Communication Management
    • Coordination of calendars and meetings.
    • Email and inbox management support.
    • Internal and external communication follow-ups.
  • Operational Coordination
    • Tracking of tasks, projects, and pending items.
    • Support within management and organization tools.
    • Coordination with internal teams and vendors.

Autonomy & Collaboration

The level of autonomy for this role adapts to the client’s context:

  • Starts with clearly defined tasks and frequent supervision.
  • Evolves toward more autonomous day-to-day management.
  • Acts as a direct point of support for leaders or executives.
  • Facilitates communication between different areas and stakeholders.

As trust and process clarity grow, so does the role’s operational autonomy.

Tools & Work Environment

Administrative & Executive Support typically works with:

  • Google Workspace or other collaborative suites.
  • Task and project management tools.
  • Communication and calendar platforms.
  • CRMs or other administrative tools (when applicable). 

Specific tools are defined during the discovery and onboarding process.

Note: Specific software licenses and specialized tools required for the workflow must be provided and covered by the client.
